WooCommerce can sell products that are virtual, downloadable or both. Virtual removes shipping-related behaviour for the item. Downloadable adds file, download-limit and expiry settings. The business still needs to define what the customer bought, when access begins, how long it lasts, which version is delivered and what happens after a refund or file update.

For a controlled implementation, use WooCommerce development. Digital delivery also depends on account settings, transactional email, payment confirmation and support ownership, so test the complete journey rather than the product editor alone.

1. Define the digital product

2. Configure the WooCommerce product deliberately

For a simple digital-only product, select Downloadable and Virtual. Add a customer-readable file name, a protected file URL, and the documented limit and expiry. A downloadable product that is not virtual can still carry shipping data, which is useful when a physical item includes a digital manual or companion file.

  • Use a stable product SKU and version or edition convention.
  • Keep the product page explicit about format, compatibility, size, language and included support.
  • Place files in an approved download directory and review the configured download method.
  • Set the order status and payment flow so access is granted only at the intended state.
  • Test transactional emails and My Account downloads with a non-administrator customer.

3. Choose file storage and access controls

Do not link the product page directly to an unprotected public file. Use WooCommerce download handling and hosting appropriate to the file size, traffic and sensitivity. Back up the source file and the entitlement records, and keep a rollback copy when replacing a live download.

4. Decide whether accounts are required

Guest access can reduce friction, but an account gives the customer a persistent My Account downloads area. Subscriptions, memberships or recurring entitlements add further requirements. Whatever model is selected, document how support verifies the purchaser when an email changes or a link fails.

5. Test the entitlement lifecycle

  1. Purchase with a successful test payment and confirm the exact file and filename.
  2. Attempt access before payment and confirm it is denied.
  3. Reach the download limit and verify the customer message and support route.
  4. Test after expiry and verify the promise matches the product page.
  5. Replace the file and decide whether past customers receive the new version.
  6. Process a refund and confirm whether access remains, is revoked or requires manual review.
  7. Open the file on the devices and software versions named as compatible.

6. Maintain versions without confusing customers

Keep a version log with release date, compatibility and the orders entitled to receive it. If a new edition is a separate purchase, create a clear product and migration offer rather than silently changing the download behind old orders.

The product is ready when a new customer can understand the entitlement, pay, receive the correct access, recover it through the promised route and get a consistent answer from support. Retain the order, email and access screenshots as launch evidence.

Worked digital-product test

Consider a spreadsheet template pack delivered as a ZIP file with one year of updates and three permitted downloads. The product page states the file format, compatible spreadsheet software, included templates, licence boundary, expiry and support route. WooCommerce is configured as virtual and downloadable, the file is stored through the approved download directory, and a customer account provides a persistent access route.

Purchase the pack with a clean test account, download it three times and confirm the fourth attempt follows the promised support process. Replace the ZIP with a corrected version and verify whether the original customer can access it under the update policy. Then refund the order and inspect access, order notes and customer communication. The test proves the entitlement, not merely that a URL opens.

Track failed downloads, missing emails, version questions and refund disputes after release. These signals show whether the product promise, file delivery or support policy is unclear. Review them before increasing download limits or exposing a public fallback link that weakens access control. Retest access after every file or payment change.
